Budget and Sponsorship

We have brains and power, but we still need money for things to get rolling. Help us to find the sponsor so we can make this happen!

Budget

I'd like to set the maximum at 40,000 THB for:

- Things to eat / drinks

We're settle with the number of 150 people, since the registration closed at 156. However, Opendream will sponsor us boxed Chester Grilled so the number of box will be counted at the event on the date.

I'm also thinking about doing coffee break in the morning and afternoon. So I proposed it here. Do they have a water boiler? Also some cup for coffeee?

- Now where should we make this cold? There is no cooler ?
3-in-one coffee and 3-in-one tea Sponsored by Zickr
Boiler - INET has it
Paper cups for Coffee - listed in Supplies section
- although INET do have cups, but that means you need to washed them up as well

- Signs, sticker, etc.

I think we would have to make up some sign or sticker for this event:

1 x Big sign to put up at the event, with all sponsor listed on there. (B1500 for main sign, B750 for sponsor sign)
70 x small stickers! (So people can stick it on their laptop, if they want to :))
5 x A4 paper sign said that we're on 13th floor to stick in front of the elevator (can we?) (B0)
15 x Paper sign each for LEFT, RIGHT, STRAIGHT with our logo, so ppl won't get lost :) (B0)
Name tags! Better to get a lot in case many people show up. Name tags are important so people can find who they want to talk to. (B200 simple stickers from Office Depot; B500 for custom printed nametags.)

estimation: around 5,000

- Supplies

We would need to get some supplies! I think it will roughly cost 3,000 THB (?)

Here is the list:

5 x Paper Tape (for taping things together)
5 x Duct tape (Duct tape rules!)
70 x Paper cups (use for coffee break)

- T-Shirt

Sanook will sponsored us with 150 T-Shirt. However, right now we're trying to finalize the design :)

- Video Tape URGENT

Yes, I really want the whole event to be taped so we can upload and broadcast it later. It will help us a lot to do advertising for the next time, or for the one that miss the event :)

Make sure that they can do sound well. If the microphones are crappy--the video is worthless.

I think the price will be around 10,000 THB for the whole day, but doesn't know yet who should I ask.

- I'm also FINDING 2 CAMCORDERS !! If somebody have one/two that I can borrows, please contact Bee.

Not only is it important that you get sponsors, but you MUST make arrangement with the sponsors on how and when you get the money. THIS IS VERY IMPORTANT! It's a big, big problem when you get to event day and you realize that you do not have the budget.

Sponsors should be confirmed a month in advance and you should have all money paid to you one week before the event. We will be too busy the week before the event to be chasing sponsors for money and nobody wants to pay out of their own pocket!

I'm set the date that sponsor should pay us: on August 4

Sponsors MUST be made aware that they will either:

Sponsor a specific cost (food, T-shirts, printing, etc.) and that they must pay directly to a service provider to cover an expense. In that case they need to provide a cash in advance or provide a check, made out to the service provider for a specific amount, and give it to you by a specific date--like one week before the event.
Be OK with giving you cash and not getting a reciept. This is great for you (you can cover expenses as they occur), but not all sponsors can give out money without and official reciept.
